It starts with the <strong>preparation<\/strong> &#8211; the behind the scenes work that determines whether Copilot becomes a tool to help you make those transformations or simply an expensive disappointment. These are simple steps you can follow as a methodology for adoption.<\/p>\n\n\n\n<p>Theres no shortage of information and guidance out there on this but in this episode I want to focus on the three pillars that I would say matter most, and put simply without all the jargon:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Your data<\/strong> &#8211; where are you maintaining it, are you maintaining it correctly, how is it\u2019s structured, and who can access it<\/li>\n\n\n\n<li><strong>Your security<\/strong> \u2013 or as the industry now terms as guardrails that keep information safe<\/li>\n\n\n\n<li><strong>Your culture<\/strong> \u2013 What AI visibility do your employees already have within the business and what do they think about the use AI<\/li>\n<\/ul>\n\n\n\n<p>When all three of are aligned, Copilot becomes a strategic advantage and will save you considerable time further down the line. But if they\u2019re not, Copilot becomes confused, inconsistent, or even risky, giving inaccurate results and sometimes in the wrong hands.<\/p>\n\n\n\n<p>Let\u2019s look at these three in more detail.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<p><strong>1\ufe0f<\/strong><strong>\u20e3 Data Readiness \u2013 Regarded as the Heart of Copilot\u2019s Intelligence<\/strong><\/p>\n\n\n\n<p>It\u2019s all about the business data for AI and this is Copilot\u2019s power. If your data is messy, scattered, or inaccessible, Copilot will struggle to help you effectively. Recommended approaches are: &nbsp;<\/p>\n\n\n\n<p><strong>\u2714 Move your files into OneDrive and SharePoint<\/strong><\/p>\n\n\n\n<p>Copilot can only use what it can see, and it only sees data stored in Microsoft 365.<\/p>\n\n\n\n<p>If your files are still on:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Local servers<\/li>\n\n\n\n<li>Desktop folders<\/li>\n\n\n\n<li>Dropbox<\/li>\n\n\n\n<li>Google Drive<\/li>\n\n\n\n<li>USB drives<\/li>\n<\/ul>\n\n\n\n<p>\u2026Copilot won\u2019t be able to use them.<\/p>\n\n\n\n<p><strong>\u2714 Look to organise your files into logical structures<\/strong><\/p>\n\n\n\n<p>Copilot thrives on the clarity you create.<\/p>\n\n\n\n<p>We all know file storage is an organic thing and it just spreads so now would be a great time to review this. If possible a simple structure works best:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Company-wide documents<\/strong> \u2192 SharePoint<\/li>\n\n\n\n<li><strong>Team documents<\/strong> \u2192 Team sites<\/li>\n\n\n\n<li><strong>Personal work files<\/strong> \u2192 OneDrive<\/li>\n<\/ul>\n\n\n\n<p>Its not just Copilot that benefits form this too, maybe your migrating device management to the cloud and Intune. This will massively help the company in that journey too.<\/p>\n\n\n\n<p><strong>\u2714 It\u2019s now time to lean up old or duplicate content<\/strong><\/p>\n\n\n\n<p>Copilot doesn\u2019t know which version is \u201cthe right one.\u201d If you have:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>\u201cFinal_v3\u201d<\/li>\n\n\n\n<li>\u201cFinal_v3_REAL\u201d<\/li>\n\n\n\n<li>\u201cFinal_v3_UPDATED\u201d<\/li>\n<\/ul>\n\n\n\n<p>\u2026Copilot will treat them all equally.<\/p>\n\n\n\n<p><strong>\u2714 Fix broken, overly broad or even unnecessary permissions<\/strong><\/p>\n\n\n\n<p>If \u201cEveryone\u201d has access to everything, Copilot will reflect that.<\/p>\n\n\n\n<p>This is the #1 risk SMBs overlook.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<p><strong>2\ufe0f<\/strong><strong>\u20e3 Security Readiness \u2013 Implement those guardrails to Protect Your Business<\/strong><\/p>\n\n\n\n<p>Generally speaking, Copilot isn\u2019t there to review or recommend security improvements. It will respect your existing security model, however that does mean your <strong>security must be solid before rollout<\/strong>.<\/p>\n\n\n\n<p><strong>\u2714 Review access permissions<\/strong><\/p>\n\n\n\n<p>Ask yourself or security managers:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Who should have access to what?<\/li>\n\n\n\n<li>Who currently has access to everything?<\/li>\n\n\n\n<li>Are there old groups or accounts still active?<\/li>\n\n\n\n<li>Setup temporary access to data to limit visibility<\/li>\n<\/ul>\n\n\n\n<p>It\u2019s important to know that Copilot won\u2019t leak your data, but it will surface data to users who already have access.<\/p>\n\n\n\n<p><strong>\u2714 PLEASE PLEASE Implement sensitivity labels (recommended)<\/strong><\/p>\n\n\n\n<p>Labels help Copilot understand:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>What\u2019s confidential<\/li>\n\n\n\n<li>What\u2019s internal<\/li>\n\n\n\n<li>What\u2019s public<\/li>\n\n\n\n<li>What should never be shared<\/li>\n<\/ul>\n\n\n\n<p>Even a simple label set makes a big difference.<\/p>\n\n\n\n<p><strong>Bottom Line for SMEs<\/strong><\/p>\n\n\n\n<p><strong>For 80% of SMEs:<\/strong> Microsoft 365 Business Premium license gives you everything you need for sensitivity labels (using Microsoft Purview). Users can manually classify documents, and you get encryption and visual markers.<\/p>\n\n\n\n<p><strong>You only need E5 if:<\/strong> You need AI to automatically classify documents based on content, or you have regulatory requirements for automated DLP.<\/p>\n\n\n\n<p><strong>Start simple:<\/strong> I recommend deploying manual labels first. If you later discover you need automation, then upgrade specific users to M365 E5 Compliance add-ons.<\/p>\n\n\n\n<p><strong>\u2714 Enable MFA and Conditional Access<\/strong><\/p>\n\n\n\n<p>This will protect your environment from unauthorised access \u2013 which is especially important when AI tools are involved.<\/p>\n\n\n\n<p><strong>\u2714 Review your Teams and SharePoint governance if used<\/strong><\/p>\n\n\n\n<p>If your Teams environment is chaotic, Copilot will unfortunately inherit that chaos.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<p><strong>3\ufe0f<\/strong><strong>\u20e3 Cultural Readiness \u2014 Preparing Employees for the Shift<\/strong><\/p>\n\n\n\n<p>Theres a whole industry built around AI adoption. Let\u2019s be clear though, this isn\u2019t just technical. It\u2019s behavioural.<\/p>\n\n\n\n<p>Employees will need to understand:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>What Copilot is<\/li>\n\n\n\n<li>What it\u2019s good at, its strengths<\/li>\n\n\n\n<li>What it\u2019s not good at and to avoid<\/li>\n\n\n\n<li>How to use it responsibly, always<\/li>\n\n\n\n<li>And <strong>Importantly<\/strong> &#8211; How to write effective prompts (Follow the series for more on this)<\/li>\n<\/ul>\n\n\n\n<p><strong>\u2714 Start with a pilot group \u2013 <\/strong>Typically 3\u20135 people in an SME who:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Are curious<\/li>\n\n\n\n<li>Are open to change<\/li>\n\n\n\n<li>Represent different roles<\/li>\n\n\n\n<li>Communicate well<\/li>\n<\/ul>\n\n\n\n<p>You want these people to become your internal champions.<\/p>\n\n\n\n<p><strong>\u2714 Set expectations early<\/strong><\/p>\n\n\n\n<p>Copilot is:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>A productivity tool<\/li>\n\n\n\n<li>A creative partner<\/li>\n\n\n\n<li>A time\u2011saver<\/li>\n\n\n\n<li>A draft generator<\/li>\n<\/ul>\n\n\n\n<p>Copilot is definitely <em>not<\/em>:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>A replacement for expertise<\/li>\n\n\n\n<li>A source of absolute truth<\/li>\n\n\n\n<li>Or your decision\u2011maker<\/li>\n<\/ul>\n\n\n\n<p><strong>\u2714 Provide simple prompt templates<\/strong><\/p>\n\n\n\n<p>Learning how to talk to AI is an art that you learn, so providing guidance early on will be well received. Provide simple examples to start with like:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>\u201cDraft an email based on this document\u2026\u201d<\/li>\n\n\n\n<li>\u201cSummarise this meeting and highlight actions\u2026\u201d<\/li>\n\n\n\n<li>\u201cCreate a proposal using the attached files\u2026\u201d<\/li>\n\n\n\n<li>\u201cAnalyse this spreadsheet and identify trends\u2026\u201d<\/li>\n<\/ul>\n\n\n\n<p><strong>\u2714 Encourage experimentation<\/strong><\/p>\n\n\n\n<p>It\u2019s very much like many things in life, the more people use Copilot, the more value they unlock and benefits you see as a company.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<p><strong>4\ufe0f<\/strong><strong>\u20e3 The Copilot Readiness Score (Quick Self\u2011Assessment)<\/strong><\/p>\n\n\n\n<p>Here\u2019s a quick readiness assessment. Like the other surveys, answer them honestly and keep a note of these for later reference. Rate each area from 1\u20135:<\/p>\n\n\n\n<figure class=\"wp-block-table\"><table class=\"has-fixed-layout\"><thead><tr><td><strong>Area<\/strong><\/td><td><strong>Score 1\u20135<\/strong><\/td><td><strong>Notes<\/strong><\/td><\/tr><\/thead><tbody><tr><td>Data is stored in OneDrive\/SharePoint<\/td><td><\/td><td><\/td><\/tr><tr><td>File structure is clean and logical<\/td><td><\/td><td><\/td><\/tr><tr><td>Permissions are accurate and up to date<\/td><td><\/td><td><\/td><\/tr><tr><td>Sensitivity labels are in place<\/td><td><\/td><td><\/td><\/tr><tr><td>Teams\/SharePoint governance is healthy<\/td><td><\/td><td><\/td><\/tr><tr><td>Staff understand what Copilot is<\/td><td><\/td><td><\/td><\/tr><tr><td>Staff know how to prompt<\/td><td><\/td><td><\/td><\/tr><tr><td>Pilot group identified<\/td><td><\/td><td><\/td><\/tr><\/tbody><\/table><\/figure>\n\n\n\n<p><strong>If your total score is 28 or higher:<\/strong> You\u2019re ready for rollout.<\/p>\n\n\n\n<p><strong>If your score is 20\u201327:<\/strong> You\u2019re fairly close so concentrate on fixing the gaps first.<\/p>\n\n\n\n<p><strong>If your score is below 20:<\/strong> Clearly more preparation is your priority before licensing.<\/p>\n\n\n\n<hr class=\"wp-block-separator has-alpha-channel-opacity\"\/>\n\n\n\n<p><strong>\ud83e\udded Episode 4 Summary<\/strong><\/p>\n\n\n\n<p>Thanks for reading. In my experience I would have to say that implementing these changes to prepare your business for Copilot is the most important step in the entire journey. The stricter you can be with these, the better the results.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Clean, accessible data<\/li>\n\n\n\n<li>Strong, sensible security<\/li>\n\n\n\n<li>A culture that embraces AI<\/li>\n<\/ul>\n\n\n\n<p>Get these right, and Copilot becomes a strategic advantage.
